This page explains how requests for quotation (RFQs) and formal quotations work at Bolton Technical Equipment Supplies LLC SPC (“BOLTON”), so you know what to expect from the moment you submit an RFQ to the point a quotation is issued.
An RFQ is a request, not an order
Most products in our catalogue are quoted on request rather than sold at a listed price. Submitting an RFQ — whether through the RFQ Basket, a product page or our contact channels — is a request for a quotation only. It does not create an order, a contract or a commitment to supply or purchase on either side. A commercial relationship arises only when a quotation is issued and an order is subsequently agreed.
What we review before quoting
Every RFQ is reviewed by our team before a quotation is issued. That review typically covers:
- quantities and specifications, including manufacturer part numbers (MPNs) and acceptable alternatives;
- documentation requirements, such as certificates of conformity, test reports, datasheets or traceability — please state these at RFQ stage, as documentation availability is confirmed item by item at quotation;
- availability and lead time from our supply chain;
- destination and delivery requirements; and
- compliance considerations, where certain products, destinations or end-uses require additional review. We may ask for end-use or destination information, and we may decline an RFQ where restrictions apply.
Catalogue data such as SKU, MPN, brand and product family is provided to help you identify items for procurement. It is not a promise of stock, price or delivery — which is why product pages show “Price on request” rather than stock or lead-time claims.
Quotation validity and pricing
Prices and availability can change between the time you submit an RFQ and the time a formal quotation is issued; nothing shown or discussed before a quotation is issued is binding. Quotations are valid for 7 calendar days by default, unless the quotation states otherwise. Prices, availability, lead times, shipping and documentation remain subject to confirmation until a formal quotation is issued or an order is accepted. If the validity date has passed, please ask us to re-confirm pricing and availability before placing an order.
We aim to respond to every RFQ promptly.
Acceptance, revision and declined requests
A quotation may be revised or reissued if quantities, specifications, documentation requirements or supply conditions change. BOLTON may decline an RFQ, or a subsequent order, for availability, compliance, destination, documentation or commercial reasons. Where we decline a request, we will tell you; where we can suggest a workable alternative, we will.
Tracking your RFQ
When you submit an RFQ Basket, you receive a reference number and a confirmation. If you hold an account, you can follow progress under My Account → My RFQs — statuses shown in your account include, for example, Received, Under Review, Quotation Under Process and Quotation Sent; statuses may be updated as your request progresses. Statuses indicate where your request sits in our workflow; our team may also contact you directly at any stage to clarify quantities, specifications or documentation needs.
From quotation to order
Orders arising from quotations are agreed directly with our team. Quotation acceptance and ordering are handled through our sales process.
Governing law
These terms are governed by the laws of the United Arab Emirates as applied in the Emirate of Abu Dhabi, and any dispute is subject to the exclusive jurisdiction of the courts of Abu Dhabi.
